Questions asked by parents about our 6-weeks student exchange

Your child would like to take the exciting opportunity to participate in our 6-weeks student exchange program at the end of the year. You, as a parent or guardian, probably have a few questions before letting your child go overseas, which is why we have answered the most common questions asked by parents about our student exchange programs. If you can’t find an answer to your question, contact us for more information.

HOW DO I ENROLL MY CHILD?

As soon as you receive information about this year’s program, contact us and express your interest. We will invite you to one of our info events or otherwise, you can just give us a call to find out whether the program is right for your child. When you’re ready, fill in the booking form we will email you and pay your deposit.

WHAT ARE THE HOST FAMILIES LIKE?

Our host families are carefully checked by the principals and teachers of the schools and host your child because they genuinely want to – they are not paid.  They are very hospitable, treat your child like their own and most of the time the students become life-long friends.

HOW DO I MAKE PAYMENTS?

To make a payment after you have submitted your initial deposit, you have several options:
1) Send a check or money order by mail along with your booking form
2) Call us on 02 9556 1932 or visit our office at 16 Hartill-Law Avenue Bardwell Park to pay by credit card
3) Make a quick direct deposit – you can find our account details on your booking form.

AM I ABLE TO MAKE INSTALLMENT PAYMENTS TOWARDS THE TRIP AND IF SO, WHAT IS THE BEST WAY TO DO THIS?

Absolutely, installment payments are an option and we will advise the payment dates for each individual group in due time.

HOW LONG DOES MY CHILD’S PASSPORT NEED TO BE VALID FOR AT TIME OF TRAVEL?

We require your child to carry a passport with at least six months’ validity beyond their planned stay. As part of the booking process we will ask for a scanned copy of your child’s passport to make sure that we have the correct details.

IF MY CHILD HAS TO CANCEL, WILL I GET A REFUND?

We sincerely hope your child can travel with us, but if he/she can’t for some reason, please notify our office as soon as possible and we will work with your individual situation. Cancellation of your booking must be in writing to Exchange Me. When written notification has been received by us, a fee will be levied to cover the costs incurred. The amount of the cancellation fee will be dependent on the number of days prior to the departure date of the tour.

WE HAVE OUR OWN TRAVEL INSURANCE. CAN MY CHILD USE IT INSTEAD OF THE POLICY EXCHANGE ME OFFERS?

It is a condition of participating in our exchange program that students are fully covered by comprehensive travel insurance. If you want to opt out of the protection we include, please notify us in writing. You need to send us a copy of your son/daughter’s own comprehensive travel insurance at the time of your booking.

CAN I ORGANISE FOR MY CHILD TO STAY WITH FRIENDS OR FAMILY IN THE COUNTRY OF DESTINATION?

Participants wishing to deviate from the original travel arrangements of the group must inform Exchange Me in writing at time of booking. We may need to charge an extra cost for this, depending on the departure time, departure city and airfares.

WHAT AIRLINE WILL THE GROUP FLY?

We work with premium airlines including Singapore Airlines, Emirates, Etihad Airways, Qantas, Qatar and Cathay Pacific. We always try to offer the group competitive prices for the flights that are most convenient for you. You will find out which airline your child will fly at time of booking.

THIS IS THE FIRST TIME MY SON/DAUGHTER WILL GO OVERSEAS. WILL HE/SHE BE ALRIGHT?

Students going on an exchange with Exchange Me receive a very extensive pre-departure brief as well as a travel booklet including information about the country, a dictionary, contact information and much more. But that’s not all – we offer 24/7 support through our local chaperone. In case there is a problem, an Exchange Me team member will look after your child immediately and be in touch with you as soon as possible.
